Guidelines for Appointment and Promotion of Academic Professionals
A. New Academic Professional Position:
A new Academic Professional position must be
approved by the Office of the Vice President for Academic Affairs
prior to the initiation of a search or the identification of an
individual for the position. This request should be from the department
head to the Dean of A&S. Upon the Dean's approval, the letter
will be forwarded to the Vice President for Academic Affairs for
approval. The letter should include an approval line for A&S
Dean and VP Academic Affairs along with instructions for return
to A&S Dean's office.
1. Department submits letter to the A&S
Dean requesting the creation of the new position. The letter must
include position description, education, and requirements needed.
If appointment is to be made for a set number of years the letter
must specify the maximum number of years the position will exist.
2. Dean reviews letter and forwards letter
to Provost Office.
3. Provost Office approves or denies, returns
letter to A&S Dean's Office.
4. Dean's Office returns to department.
5. Announcement of position search in compliance
with Affirmative Action guidelines and University procedures.
6. Submit request for approval to appointment
individual to A&S Dean. Appointment dossier should be included
with the request. Dean forwards to VP Academic Affairs.
7. Personnel is submitted with copies of all
approval letters. Note that appointment papers were forwarded with
approval request.
B. Reappointment of Academic Professional:
Academic Professionals must be approved for
reappointed each year. The department will submit a letter to the
A&S Dean requesting the continuation of the title. The letter
should include the general criteria information for the title, quality
of performance of assigned responsibilities and accomplishments,
as well as how the person is fulfilling the Academic Professional
role. Signature lines for A&S Dean and VP Academic Affairs should
be included, along with a note to return to A&S Dean's Office.
Letter is due to A&S Dean's Office April 1.
1. Department submit letter to A&S Dean
requesting continuation of Academic Professional.
2. Dean reviews request and forwards letter
to Provost Office.
3. Provost Office reviews, approves or denies,
returns letter to A&S Dean's Office.
4. Dean's Office returns letter to department.
5. Personnel is submitted to A&S Dean's
Office with copy of approval letter.
C. Non-Reappointment of Academic Professional:
Notice of non-reappointment of an Academic
Professional will be by non-renewal letter.
D. Promotion of Academic Professionals:
Each candidate for promotion will be judged
primarily on the basis of the quality of performance of assigned
responsibilities. Each rank has its own performance criteria. Thus,
success performance at one rank in and of itself does not necessarily
imply having met the criteria for the next rank simply with the
passage of time. Promotion recommendations originate in the unit
in which the individual holds his appointment.
1. Department head or director will convene
a promotion committee.
2. Committee sends written recommendation
to unit executive officer of vote for or against promotion.
3. If both the committee and the executive
office are in favor of the promotion the promotion dossier is forwarded
by the department head to the A&S Dean's Office.
4. The A&S Dean will forward his recommendation
to the Vice President for Academic Affairs.
5. The Vice President for Academic Affairs
will review the dossier and forward it to the President with his
recommendation.
6. If the President approves, the recommendation
for promotion is transmitted to the Chancellor's office.
7. Promotion is not final until approved by
the Board of Regents.
E. Appeals
A candidate may appeal a negative decision
following the guidelines set forth in the guidelines for Academic
Professionals.
