New UGA Employees—Employee Records and E-Mail Verification

Employee Records

If you are not a current or former UGA employee, you will need to go to this web site so that you can go through the on-line New Employee Orientation:

Perhaps the most important part of this on-line orientation is printing out and completing the following paperwork:

• I-9 Employment Eligibility Verification

• Board of Regents Security Questionnaire and Loyalty Oath (this form must be notarized in TWO places. Do NOT sign until you are in the presence of a notary).

• UGA Intellectual Property Agreement (must be witnessed)—the Franklin College at Gwinnett Office Manager or Program Coordinator can witness this form

• Form W-4 Employee’s Withholding Allowance Certificate

• Direct Deposit Form (required)

Important Note from Human Resources: Receipt of your paycheck will be delayed if the Security Questionnaire and Loyalty Oath form is not properly completed and submitted. Questions should be directed to Richard Riggs, Employee Data Management Services, Human Resources Division, at (706) 542-4088. All of the forms listed above should be completed before the start of the semester or no later than the first week of class. Please submit your completed forms to the Franklin College at Gwinnett Office Manager in Suite A1110 for proper routing. When the direct deposit of your paycheck has been completed, you will receive a payroll advisement (check stub) notifying you of the details of your payment. You may receive your advisement in one of two ways:

• Have the advisement delivered via e-mail attachment (recommended)

• Have the advisement delivered to your home academic department on main campus in Athens

E-Mail Verification

All UGA faculty must verify their e-mail address at www.emailinfo.uga.edu . On this site, you will be required to enter a preferred e-mail address for verification, as well as your UGA MyID and password. After you have entered this information, an e-mail will be sent to your preferred e-mail address explaining the final step to complete the verification process. The final step includes clicking on a link to the web site where you will enter your UGA MyID once again.
Please note that the e-mail verification process will require you to set up a UGA e-mail account if you do not already have one. To do so, please go to https://www.myweb.uga.edu/myid/ and click on Faculty/Staff under Request a MyID.

Start of the Semester Checklist for UGA at Gwinnett Faculty

Before classes start—or during the first week of class at the latest—be sure to take care of these items:

Faculty Services

Franklin College of Arts & Sciences at Gwinnett

Faculty teaching with UGA at Gwinnett on a part-time basis are not assigned individual office space. However, arrangements can be made for you to have access to office space in our suite (A1110) or in the faculty hoteling space in Bldg. A on a space available basis.

Thus, if you need/want access to office space while you are on campus at Gwinnett, please let the Franklin College at Gwinnett Office Manager or Program Coordinator know so that we can work out the arrangements with the UGA at Gwinnett Academic Affairs Office.  Please note that the office space arranged for you will offer you access to a computer on which you can access the internet and use Microsoft Office software programs (Excel, Word, etc.).  If you will be printing out documents, please obtain paper from the Franklin College at Gwinnett Office Manager.

The office space arranged for you may not have a telephone.  Thus, if you need to make a phone call, please see the Franklin College at Gwinnett Office Manager or Program Coordinator.  Or if you have your own cell phone, you may wish to use it.

Computer Access and Office Supplies

For basic classroom and/or office supplies—dry erase markers, post-it notes, tape, notepads, etc.—please see the Franklin College at Gwinnett Office Manager.

We also have a few Dell laptop computers available for you to use while here on site at Gwinnett. If you would like to use one, just talk with the Franklin College at Gwinnett Office Manager; she will be happy to check one out to you. (By the way, all buildings on the Gwinnett Campus are wireless network environments.)

Copying

Faculty who need syllabi or other course materials copied should submit them to the Franklin College at Gwinnett Office Manager. Please submit materials to be copied AT LEAST 24 HOURS in advance. You may submit materials either in person or via e-mail to the Franklin College Program Coordinator or Office Manager as attachments in Word, Excel, etc.

When you submit your copy request, please be sure to include these three pieces information:

(1) indicate the prefix and number of the course for which you want copies made (for example, PSYC 3260)

(2) indicate the number of copies you want made

(3) if the document is two or more pages long, indicate whether you would like single-sided or double-sided copies (if you don't indicate a preference, they will be copied front and back to save paper)

Once your course materials are prepared, the Office Manager will place them in your mailbox in the mailroom in A1067 and send you an e-mail notifying you that you may pick up your materials there at your convenience.

Food Service

Mocha Delites, located in the Student Center area in Bldg. A and off the atrium on the 1st floor of Bldg. B, offers a variety of food and beverages (sandwiches, wraps, quesadillas, nachos, hamburgers, hotdogs, soup, chips, soft drinks, coffee, hot tea, smoothies, etc.).

Vending machines are also located in buildings A, B, and C.

Parking

All UGA at Gwinnett faculty must display a Georgia Gwinnett College (GGC) Faculty/Staff parking permit on their vehicle.  GGC parking permits are available in B1300, the Security Services Office.  There is no charge for these permits, which must be renewed before the start of each semester.  You will receive a parking permit request letter from our office that you will take with you to the GGC Security Services Office so that they will know to issue you a Faculty/Staff parking permit.

If you also work on main campus in Athens and have a valid, current UGA-Athens parking permit, it will be accepted at the Gwinnett Campus, but for security purposes, it is mandatory that you get and display a Georgia Gwinnett College permit. Both the UGA and the GGC parking permits should be displayed on your vehicle.

If possible, please come by the Gwinnett Campus and obtain your parking permit before the first week of class. However, if you cannot do so, please come to the Gwinnett Campus early on the day of your first class meeting so that you can obtain your parking permit before heading off to teach your class.

There is designated parking for Faculty/Staff.  At Bldg. A, it is in the back of the building and along part of the left side of the building (left as you face the front of Bldg. A).  At Bldg. B, the Faculty/Staff parking area, which is located to the right of the building, is next to the Handicapped and Visitor parking area.  All of the parking spaces in the areas designated for Faculty/Staff are individually labeled “STAFF.”

Mail and Mailboxes

Each of you has a mailbox in the Gwinnett Campus Main Mailroom, which is located in A1067. When you enter the mailroom, turn to your left and you will see the UGA faculty mailboxes on the wall (the two rows closest to the door). Faculty members’ names appear in alphabetical order.  By the way, UGA, Georgia Perimeter College (GPC), and Georgia Gwinnett College (GGC) faculty mailboxes are not intermingled.

To gain entry to the Main Mailroom in A1067, where your mailbox is located, you will need to obtain the access code to the lock on the mailroom door from the Franklin College at Gwinnett Office Manager or Program Coordinator. Do not share this access code with anyone.

The mailrooms in Buildings A (A1067) and B (B1400) have mail bins for US mail, UGA library truck mail (to take mail between the Gwinnett Campus and the UGA main campus in Athens), GGC inter-departmental mail, and Georgia Perimeter College (GPC) inter-departmental mail.

The mailroom is open 7:30 AM till about 10 PM Monday through Friday.

Faculty Office Hours

Faculty are expected to hold office hours for at least one hour each week. You may use the office space arranged for you. You may also consider using the GGC Library, which has small, private study rooms available on a first come, first served basis, or the Atrium of Bldg. B, which has a large, open sitting area with comfortable chairs and some tables, to meet with students.

Please be sure to list your office hours on your course syllabus and to provide your students with contact information (e-mail address, phone number, etc.) so that they will know how to reach you.

School Closing—Emergency or Inclement Weather

When inclement weather and/or emergency conditions exist, it may be necessary to cancel classes and/or close the Gwinnett Campus.

In the event of an emergency or the cancellation of classes due to inclement weather, up-to-date information is delivered to metro-Atlanta radio and television stations. If you become aware of severe weather in the area, please tune in to the radio or TV immediately or check the internet. Any schedule alteration, including closure of the Gwinnett Campus or the cancellation of classes, will be announced on these radio stations:

Make certain that any notices regarding cancellation of classes or delay in school opening at UGA pertain to UGA at Gwinnett or Georgia Gwinnett College, not to the UGA main campus.

If your access to radio, TV, or the internet is limited, you may call 678-407-5302 and listen for a message regarding any alteration to the UGA at Gwinnett course schedule.

If you do have internet access, you may want to check the home page of the UGA web site, for information regarding the cancellation of classes on either main campus in Athens or the Gwinnett Campus in Lawrenceville will be posted there. You may also want to check your UGA e-mail account for notices regarding cancellation. If the main campus or the Gwinnett Campus has been closed, UGA will send e-mail notification to all UGA faculty, staff, and students via their UGA e-mail account informing them of the cancellation of classes or of a delay in school opening. In addition, as soon as the program coordinator learns that the decision has been made to cancel UGA at Gwinnett classes, the program coordinator will send an e-mail to all Franklin College at Gwinnett faculty.

Please do not telephone the Gwinnett Campus Security Services, other campus offices, or the news media since the heavy volume of phone calls may well cause a slowing of the telephone system. The phone lines should be left open for priority messages.

Important Note: Schedule alteration or cancellation of classes on main campus in Athens does not necessarily mean that UGA at Gwinnett classes are cancelled or that UGA at Gwinnett school opening is delayed. Emergency or inclement weather conditions may necessitate the closing of one campus, but not the other. Thus, there may be occasions when weather conditions necessitate canceling UGA at Gwinnett classes, but not classes on the main campus in Athens.

Academic Honesty

Classroom Technology

All classrooms on the Gwinnett Campus have an integrated AV system, which includes the following:

  • Instructor PC with CD, DVD, floppy, and zip drives
  • Ceiling-mounted data projector
  • VCR
  • Document Camera or Overhead Projector
  • SMART Board or SMART Sympodium

The majority of classrooms use a touch-screen to control all of these in-room elements.

If you need to request additional technology for your classroom for use during a particular class meeting, you MUST request that technology AT LEAST 24 HOURS IN ADVANCE on this web site:

Please print out a copy of your classroom technology request BEFORE you hit the “Make Request” button to submit your request.

If you have difficulty during class operating the technology in your classroom, please press the "AV Technology Helpdesk" button on the classroom telephone or dial Ext. 5555 to reach the AV Help Desk (678-407-5555) so that an AV Tech can be dispatched to assist you immediately.

Please let the Franklin College at Gwinnett Office Manager or Program Coordinator know if you run into any problems having your technology requests met.

If you would like to have an introduction to the in-classroom technology at the Gwinnett Campus, please call Ext. 5470 to arrange an overview session. These sessions can usually be scheduled immediately before your class.

NOTE: Do NOT use Low-Odor Dry Erase Markers on the SMART boards, white boards, or wall boards as they damage the boards.

Canceling Your Class or Being Delayed Getting to Class

During regular business hours (8:00 AM – 5:00 PM), please notify the Franklin College of Arts & Sciences at Gwinnett Office Manager at 678-407-5239 or the Program Coordinator at 678-407-5007 if you must cancel class or if you have been delayed getting to class. We’ll make sure that your students are notified. However, if you are unable to reach someone with the Franklin College, please contact the Georgia Gwinnett College Information Desk at 678-407-5016 (before 4:00 PM) or 678-407-5061 (after 4:00 PM).  You may also reach the GGC Information Desk staff via e-mail:  before 4:00 PM, send an e-mail to nshipman@ggc.usg.edu and/or smeltzer@ggc.usg.edu ; after 4:00 PM, send an e-mail to acanada@ggc.usg.edu .  In the subject line, please put something like Class Cancellation or Delay in Reaching Campus.  The GGC Information Desk staff will post a flyer on the announcement board next to the Info Desk in the lobby of Bldg A.  If you would also like a flyer posted on the door of your classroom, you must make that specific request when you phone or e-mail the GGC Info Desk.

If it is after 5:00 PM, please notify the GGC Information Desk at 678-407-5061 or at acanada@ggc.usg.edu so that the Information Desk staff can print up a flyer announcing the cancellation of your class or the delay in the start of your class.  The GGC Information Desk staff will post that flyer on the announcement board next to the Info Desk in the lobby of Bldg A.  If you would also like a flyer posted on the door of your classroom, you must make that specific request when you phone or e-mail the GGC Info Desk.

Class Rolls

The UGA Registrar's Office does not print class rolls, so you will need to go on-line to the UGA Registrar's Office web site and print out a copy of your class roll(s) before your first class meeting(s). During Phase III Registration/Drop-Add, you will want to print out a new class roll before each of your class meetings in order to have an up-to-date class roll.

All UGA instructors have access to their class rolls on the web. Starting the first day of Phase II Registration, you may view your class rolls on the web at https://db.uga.edu/classrolls. You must have a UGA MyID in order to view your class rolls on this web site.

You may access your class rolls from the UGA Registrar's Office web site: http://www.reg.uga.edu/or.nsf. On their home page, click on the "Faculty/Staff Services" link on the Navigation Menu. On the Faculty/Staff Services page, click on the "Class Rolls" link listed under "Other Services" (Class Rolls is near the bottom of the links listed here).

Final Examinations

Final Examination Policy
A final examination schedule is produced each semester by the Office of the Vice President for Instruction. No time and date departures from the examination schedule should occur without prior approval of the dean of the school or college and the Vice President for Instruction. Similar advance approval also must be obtained to administer standardized, departmental "mass" examinations to groups of students enrolled in the same course.

Although there are special courses where a final examination of the regular type may not be appropriate, each student must be provided the opportunity to stand for a final examination as part of the completion of a full instructional term. Each instructor has the authority to design and administer the final examination in whatever manner is appropriate. Additionally, the instructor has the authority to structure the course syllabus and content so that the final examination may be a summative evaluation of the entire term's work or a portion of the term's work.

IMPORTANT NOTE: The UGA at Gwinnett final exam schedule is published each semester by the Office of the Assistant Vice President for Academic Affairs for UGA at Gwinnett. The UGA at Gwinnett final exam schedule does NOT appear in the Schedule of Classes posted on the UGA Registrar’s Office web site. Policy on Mandatory Assignments, Tests, and Quizzes During Reading Days and the Final Instructional Day of a Course

Reading Days
Reading Days are designed to provide time for students to prepare for final examinations. No mandatory assignments scheduled for completion during the Reading Days, either for course work or extra-curricular or co-curricular activities, shall be given to students by University personnel. Exceptions for good cause can be made to this policy by the Vice President for Instruction. Nothing in this policy limits the ability of instructors to schedule optional study reviews for their students during these days.

Final Instructional Day
No tests or quizzes are to be administered on the final instructional day of a course, unless the course has not been assigned a final examination time slot by the University. For purposes of this policy, student presentations to the class in a seminar or graduate course shall not be considered a test or a quiz.

Admission to Course Examinations
Students who have not registered for the course will not be admitted to the final examination, and only under extraordinary circumstances will they be admitted to the examination unless they have attended at least 50 percent of the total class and laboratory exercises held in the course.

Final Examination Schedule Conflicts

Final Examination Schedule Conflicts
With the consent of the academic department, the individual faculty instructor has authority to manage students who have conflicts with the final examination schedule. A student with three final examinations scheduled within the same calendar day or two examinations at the same time may petition to reschedule one exam to a different time or day. If one of the conflicting final examinations is a mass exam, then it will be rescheduled. Grievance Procedures/Grade Appeals

For information on faculty/staff grievance procedures or student grade appeals, please consult with the home department for the course that you are teaching. For example, instructors teaching a history course through the Franklin College at Gwinnett should contact the office of the head of the UGA History Dept. on main campus, and instructors teaching a microbiology course through the Franklin College at Gwinnett should contact the office of the head of the UGA Microbiology Dept. on main campus.

Faculty/staff grievances and student grade appeals are handled by the home department; thus, it is important that you contact your home department about such matters, especially since each department’s procedures are a bit different.

The Franklin College at Gwinnett Office has information from UGA Franklin College departments offering courses at Gwinnett outlining their grievance/grade appeals procedures. Therefore, please contact either the Program Coordinator or Office Manager if you would like to know what the guidelines are for your home department.

Scantron Test Sheet Scoring

A scantron scoring machine is located in A1066, next to the mailroom. This machine can score 3 different types of scantron sheets:

(1) #882E, the small (long, thin) green sheets

(2) #888E, the full-sheet short-answer form

(3) #886E, the full-sheet essay form.

All of these scantron forms can be purchased in the Gwinnett Campus Bookstore, which is located in the Student Center area in Bldg. A. The price of pack of 6 of the #882E forms is $1.20.

The University Council has approved a policy requiring a syllabus for each course.  This policy may be found at this web address:

Teaching Evaluations

Near the end of each term, the Franklin College of Arts & Sciences at Gwinnett Office Manager or Program Coordinator will e-mail all instructors to let them know that their teaching evaluation forms have been placed in their mailbox in the Gwinnett Campus mailroom and that they should go to the mailroom to pick up the manila envelope containing their teaching evaluation forms as soon as possible.  The teaching evaluation forms are the same ones that your respective home departments use.

Your evaluation forms will be in a manila envelope that has an instruction sheet attached.

It would be helpful to us to know when you plan to have your students fill out the evaluation forms so that we can be on the lookout for them, so please let the Franklin College of Arts & Sciences Office Manager or Program Coordinator know when we can expect to receive your evaluations.

General Instructions for completion of Teaching Evaluations
Please allow 5-10 minutes at the beginning or the end of class for your students to complete teaching evaluation forms.

You must leave the classroom while students complete their evaluation forms. Before leaving, designate a student to collect the forms, place them in the provided manila envelope, and return them to the Franklin College at Gwinnett Office in Suite A1110.

For evaluations forms being returned after 5:00 p.m.
Please instruct the student returning the envelope containing the forms to come by our suite (A1110). If it is unlocked, the student may turn the envelope containing the evaluation forms in to the Franklin College at Gwinnett Office Manager or Program Coordinator. If the doors to our suite are locked, the student should slide the envelope under the glass doors to the suite.

If you have questions or concerns about the evaluation process or would like to view or receive a copy of your evaluations after the semester is over, please let the Franklin College Office Manager or Program Coordinator know.

Textbook Orders

Please submit your textbook order via e-mail to the Franklin College at Gwinnett Office Manager by the deadline you are given. Be sure to include the following information: title, author(s)/editor(s), edition number, publisher and ISBN.
